Visualise and manage Mappings

Lesson 18 of 21 6 min read

See your Mappings as a diagram, trace a document type through every step, and use bulk tools to add, clone, update and migrate Mappings.

Once you have more than a handful of Mappings, a list stops being the easiest way to understand them. This lesson shows you how to see your Mappings as a diagram, follow one document type step by step, and make changes to many Mappings at once.

The Mappings list

The Mappings list shows Automatic, Enabled, Map, From, As and To for each Mapping. The menu in this screenshot predates the Settings menu split in release 1.51.0.

Scan the Automatic and Enabled columns first. A Mapping that's unticked under Enabled isn't running at all.

See the whole picture

On the Mappings screen, click the eye icon in the top-right to open the Mappings diagram.

At a glance you can see which Integrations are in place and which document types go to and from each one. Each Integration appears once, with data flowing in and out of it; an Integration only appears twice where data loops back on itself.

You can zoom in and out, drag to move around, fit the diagram to the view, and download it as an SVG or PNG image, which is handy for project documentation or for explaining a setup to a colleague.

Follow one document type

On the Mappings page you can also pick a document type and a source Integration to see every step that document goes through, from the incoming data to the Mappings that run. You can follow it on to the next Document it creates, which is especially useful for two-hop flows. Clear either choice to start again.

Managing many Mappings

ToolWhat it doesUse it when
CloneOpens a pre-filled copy of a Mapping that you can change and save as new. The original is unchanged.Creating a similar Mapping, such as the same flow for a second store
Bulk addSet up a Mapping once and create it for several Integrations at once, with a preview of every pairing before anything is createdRolling the same flow out to several stores or partners
Update severalChange several Mappings at once instead of one by oneTurning Automatic on for all your test Mappings at go-live
MigrateMove every Mapping that uses one Integration over to another in one step, showing how many will change firstSwitching from a sandbox to live, or replacing an Integration

Actions such as clone and delete are in each row's menu.

Go-live in two clicks

During testing, Priya's Mappings all pointed at the Sandbox Hilltop Coffee Integration. At go-live she uses Migrate to move every Mapping from the sandbox to live Unleashed. Supply Lens tells her four Mappings will change; she confirms. Then she selects all of them and uses update several to turn Automatic on. Finally she opens the diagram and downloads a PNG for Hilltop's operations manual.

Recap

  • Check the Automatic and Enabled columns on the Mappings list first.
  • The eye icon opens a diagram of your Integrations and the document types flowing between them.
  • Pick a document type and source to trace every step a Document goes through.
  • Clone, bulk add, update several and migrate save time when managing many Mappings.
  • Migrate is the quickest way to move Mappings from a sandbox to a live Integration.
