Supply Lens

Add a Product

Lesson 5 of 24 6 min read

Create a Product with its essential details, and know when to stop at the basics and when to carry on editing.

In this lesson you will add a Product, understand what each field on the Add new product window does, and choose between creating it straight away or carrying on to fill in more.

The Add new product window

Only the name is mandatory, but the other fields are where most of the value is.
NameThe Product's name. This is the only mandatory field.
DescriptionA longer description of the Product.
Default unit of measureThe size this Product is sold in by default. When an order arrives without a unit of measure, this is treated as the ordered unit size.
Tax codeUsed when an order arrives without tax information.
Default fulfilment locationThe Location this Product ships from if no other Location is provided. The Location must already exist.
SKUYour stock keeping unit code, usually the code in your ERP or inventory system.
GTIN-13A 13-digit barcode, usually identifying the single consumer unit.
GTIN-14A 14-digit barcode, usually identifying a case or outer.

Notice that three of these fields are defaults: what Supply Lens should assume when an incoming document leaves something out. Filling them in now saves Documents from stopping later.

Add the Product

  1. Open Settings → Reference data → Products.
  2. Click + ADD in the top-right to open the Add new product window.
  3. Fill in the Name, and any other fields you have to hand.
  4. Finish with one of the two buttons:
    • CREATE saves the details and closes the window. You can edit the Product later.
    • CREATE AND EDIT saves the details and takes you to the Edit Product screen, where you can add prices, more identifiers and conversions.

Which button?

Use CREATE when you are adding a batch of simple Products one after another. Use CREATE AND EDIT when you know this Product needs partner codes, conversions or prices, so you can finish it in one sitting.

Set or change the default fulfilment Location

If you skipped the Location when creating the Product, or need to change it:

  1. Open the Product from Settings → Reference data → Products.
  2. In the Information section, open the Default fulfilment location drop-down.
  3. Choose the Location the Product normally ships from.

If the Location you want isn't listed, it hasn't been added yet. You will add Locations in the Locations module.

Adding House Blend 250g

Priya adds Hilltop's best seller with CREATE AND EDIT, because she knows it needs more than the basics:

FieldValue
NameHouse Blend 250g
Default unit of measureBag
Tax codeHilltop's zero-rated food code
Default fulfilment locationBrookside Warehouse
SKUHT-HOUSE-250 (the same code as in Unleashed and Shopify)
GTIN-13the barcode printed on the bag
GTIN-14the barcode printed on the case of six

Setting Bag as the default means an order line with no unit is read as bags, which is exactly right for Shopify. On the Edit Product screen she will next add Greenleaf's code, the case conversion and the wholesale price.

Match your item master exactly

The SKU you enter here should match the code in your ERP or inventory system character for character, including capital letters, hyphens and leading zeros. HT-HOUSE-250 and ht-house-250 can be treated as different codes.

Recap

  • Add Products from Settings → Reference data → Products → + ADD.
  • Only the name is mandatory, but the default unit, tax code and fulfilment Location save orders from stopping.
  • CREATE saves and closes; CREATE AND EDIT saves and opens the full Edit Product screen.
  • The default fulfilment Location must already exist before you can choose it.
  • Enter SKUs exactly as they appear in your item master.
