Which orders should come in?
Lesson 5 of 12 6 min read
Use the date, payment and status settings to import exactly the orders your team should fulfil, and nothing else.
The first decision for any store is which orders Supply Lens should pick up. Import too few and orders go unfulfilled; import too many and you ship unpaid or cancelled orders, or flood your inventory system with history. By the end of this lesson you'll be able to set the order configuration to import exactly the right ones.
Where these settings live
All the settings in this module are on the Orders configuration of your WooCommerce Integration. Open Configurations on the tile and edit the order configuration.
Decision 1: from when?
| setupDate | Only orders created on or after this date are imported. It's set automatically when the Integration is first configured, so historical orders aren't pulled in at go-live. You don't normally change it. |
|---|---|
| lastImportDate | The time of the most recently imported order. Supply Lens updates it after every run so the next run only fetches orders changed since then. It's managed by the system: don't edit it. |
Together these stop your whole order history landing in your inventory system the moment you enable the Integration.
Good to know
Because setupDate is set when you first configure the Integration, orders placed before
that, including any placed while you were testing settings, won't be imported. If you need
an earlier cut-off, talk to your Supply Lens contact rather than editing the dates yourself.
Decision 2: paid orders only?
| requireDatePaid | When true, orders without a paid date in WooCommerce are not imported, so only paid orders are processed. Choose true if you should never fulfil before payment. Leave false only if you deliberately fulfil orders that WooCommerce hasn't marked as paid. |
|---|
Decision 3: which statuses?
| statusesToImport | The WooCommerce order statuses to import. Only orders with a status in this list are processed. When the list is empty, no orders are imported at all. |
|---|
WooCommerce orders move through statuses as they progress. Put in the list only the statuses at which your team should start fulfilment. Leave out statuses for orders that shouldn't be shipped, such as cancelled or failed ones.
Empty means nothing
An empty statusesToImport list doesn't mean "import everything". It means import
nothing. If an Integration is enabled and no orders appear, check this list first.
How the three decisions combine
An order must pass every check to be imported.
When orders arrive too early
With webhooks on, Supply Lens imports an order as soon as it's created. If other plugins in your store change orders after they're created, for example expanding bundles, swapping SKUs or adjusting lines, Supply Lens can pick up the first version before those changes land. Signs include bundle products instead of individual items, unexpected SKUs, or orders that look different in Supply Lens and WooCommerce.
The fix is an import delay: Supply Lens waits a set time before importing each order, so the final version comes through. Contact the Support Team to have an import delay applied, and experiment while testing to find the right length.
Fernbrook's order filter
Fernbrook takes card payments, and only wants orders that are paid and ready to pick.
Priya sets requireDatePaid to true and adds only the status her team picks from to
statusesToImport. She leaves setupDate and lastImportDate alone. When she tests a
cancelled order, it doesn't appear in Supply Lens, which is exactly what she wants.
Recap
setupDatestops historical orders being imported;lastImportDateis managed by the system.requireDatePaidset totrueimports only orders with a paid date.statusesToImportlists the statuses to import, and an empty list imports nothing.- An order must pass the date, payment and status checks to be imported.
- If plugins change orders after creation, ask Support for an import delay.
