Route it with a Mapping

Lesson 14 of 15 6 min read

Create the Mappings that join your Integrations together, and choose sensible settings for a careful first go-live.

Your Integrations are connected and know which document types to handle, but nothing yet says "orders from Shopify go to Unleashed". In this lesson you will create the Mappings from your plan and decide whether they should run automatically from day one.

Create a Mapping

  1. Go to Settings → Integration setup → Mappings.
  2. Click + ADD in the top-right.
  3. Set Map (the document type), From (the source Integration), As (usually Target Data) and To (the target Integration).
  4. Leave the filters blank unless you need to narrow the Mapping.
  5. Click SAVE.
The Mapping editor. Filters are under Matching; the destination is under Target.

The editor groups the fields into sections:

  • Matching: the filters (Customer, Supplier, Ship to, Ship to location, Ship from, Ship from location, Tags). Blank means match everything.
  • Target: Map to (Target Data or Document), To integration, and Target tags to apply to what is sent.
  • Miscellaneous: Status update types, for Mappings that should only respond to particular status updates.

Automatic or manual for go-live?

Each Mapping has an Automatic switch.

  • Automatic on: as soon as a matching Document arrives, it is sent. This is what you want in normal running.
  • Automatic off: matching Documents stop at Ready. Nothing is sent until someone processes them. This gives you a chance to review, and even edit, Documents before they reach the target.

A cautious first week

Many teams start a new flow with Automatic off, check the first few Documents, then turn it on once they trust the setup. The help centre recommends the same approach if you expect to edit Documents often, because a Document is easiest to edit while it is Ready.

Hilltop's Mappings

Priya creates two Mappings:

AutomaticEnabledMapFromAsTo
OffOnOrderShopifyTarget DataUnleashed (sandbox)
OnOnInventoryUnleashed (sandbox)Target DataShopify

She leaves Orders manual for the first few days so she can look at each order before it reaches Unleashed. Stock levels are low-risk to her because they only update the shop, so she lets them run automatically.

She opens the Mappings diagram to check the picture matches her sticky note: Shopify and Unleashed, with Orders going one way and Inventory the other.

The Mappings list. Each row is one route.

Check before you move on

  • Is there a Mapping for every line in your flow plan?
  • Does each Mapping's From Integration have a Receive Configuration for that document type, and each To Integration a Send Configuration?
  • Is each Mapping Enabled?
  • Have you made a conscious choice about Automatic?

Recap

  • Create Mappings under Settings → Integration setup → Mappings → + ADD: set Map, From, As and To, then SAVE.
  • Leave filters blank unless you need to narrow a Mapping.
  • Automatic off stops Documents at Ready for review; turn it on once you trust the flow.
  • Check every Mapping lines up with a Receive Configuration on its source and a Send Configuration on its target.
