Set up your Organisation

Lesson 6 of 15 6 min read

Create your company's workspace, choose a plan, and keep your organisation's details and billing up to date.

Your Organisation is your company's home in Supply Lens. Every Integration, Mapping, Product, Party and Location you set up belongs to it, and every Document you see is one of its Documents. In this lesson you will create an Organisation, understand what the plan and subscription mean for you, and find where to keep your company details up to date.

Why the Organisation matters

Everything in Supply Lens is scoped to an Organisation. If you work for a group with two trading companies, each might have its own Organisation with its own Integrations and its own data. You switch between them from your list of organisations; the browser tab title shows which Organisation you are in, which helps when you have more than one open.

Each Organisation also has an Organisation party: the record of your own company, holding your name, address and identifiers such as your VAT number and GLN. Supply Lens uses it whenever it sends or receives documents on your behalf.

Create your Organisation

When you first sign in you will see your list of organisations. It is empty until you create one or accept an invitation.

Your list of organisations is empty until you create or join one.
  1. From your list of organisations, choose to create a new organisation.
  2. Enter its name, web address and invoice address. You can also enter your VAT registration number; the correct country prefix is shown for UK and EU addresses.
  3. Add a payment method.
  4. Choose a plan.

You do all of this in one go. Once it is done, your new Organisation appears in the list and you can open it.

Older guides mention Peppol

Earlier versions of Supply Lens created organisations from the PEPPOL area of the menu, and some help pages still describe that route. The current app lets you create an organisation straight from your list of organisations.

Your subscription

Your list of organisations shows each organisation's subscription status, with active organisations listed first. If an organisation's subscription has expired, a banner tells you, and opening that organisation takes you to billing so you can renew.

Billing lives under Settings → Organisation → Billing. There you can:

  • change the card or Direct Debit you pay with
  • switch plans, or move between monthly and yearly billing
  • change who receives your invoices and update your VAT number
  • download past invoices
  • cancel your subscription

Keep your organisation details up to date

Your organisation's details page, under Settings → Organisation, shows your trading names, notification emails and address. Your organisation's admins and primary owner can edit these details.

Notification emails

Check the notification emails early. They decide which mailbox hears from Supply Lens about your Organisation, so point them at people who will act on what they receive.

Hilltop Coffee's Organisation

Priya creates an Organisation called Hilltop Coffee Ltd, enters the company's website and invoice address and its VAT number, adds the company card and chooses a monthly plan. She then opens Settings → Organisation and adds the operations mailbox as a notification email, so alerts reach the whole team even when she is on holiday.
