Invite your team
Lesson 7 of 15 6 min read
Add colleagues to your Organisation, help them accept their invitation, and manage members as your team changes.
Integrations run whether anyone is watching or not, but someone needs to keep an eye on them, deal with the odd failed order and answer "did it go through?". That should not all rest on one person. In this lesson you will invite colleagues, see how they accept, and learn how to tidy up members when people join or leave.
Good to know
Adding team members is free, so there is no reason to share a login.
Open the Members screen
Go to Settings → Organisation → Members. From this screen you can:
- see current members
- invite new people
- check the status of invitations you have sent
- resend or cancel a pending invitation
- remove an existing member
- leave the organisation yourself
- hand ownership of the organisation to another current member
Invite a colleague
- Open Settings → Organisation → Members.
- Choose to invite someone and enter their email address.
- Send the invitation. It appears in the list as pending until they accept.
Invitations come from no-reply@supplylens.co.uk. Ask your colleague to look out for it,
and to check their spam folder if it does not arrive. You can resend it from the Members
screen if needed.
Accept an invitation
Your colleague does the following:
- Open the link in the invitation, or go to app.supplylens.co.uk, and sign in or create an account.
- On the Home screen, find the pending invitation.
- Click Accept to join, or Reject to decline.
Signed up with a different email address?
If the invitation went to one address but your colleague registered with another (a personal address, say), they can still claim it. They enter the invite code from the invitation in the Invitations section of the Home page.
Owners, admins and members
Every organisation has a primary owner, and some members are admins. Admins and the primary owner can edit the organisation's details. Everyone in the organisation can view Documents and their logs, add source data, and edit, download or copy source and target data.
When colleagues have the same Document, product, party or setting open as you, you will see them in the page header, shown with their Gravatar or their initials. It is a useful nudge before two people fix the same order at once.
When people leave
Remove members who leave the business, and cancel any invitations that were never accepted. If the person leaving is the primary owner, have them transfer ownership to another current member first, so the organisation is never left without an owner.
Tom joins Hilltop Coffee
Priya invites Tom, who runs the warehouse, so he can check shipments. Tom registered last year with his personal Gmail address, so the invitation email to his work address does not match. Rather than registering again, he enters the invite code in the Invitations section of his Home page and joins Hilltop Coffee Ltd straight away.
When Priya goes on maternity leave six months later, she transfers ownership of the organisation to the finance director before she goes.
Recap
- Manage people under Settings → Organisation → Members: invite, resend, cancel, remove, leave and transfer ownership.
- Invitations come from no-reply@supplylens.co.uk and are accepted or rejected on the Home screen.
- An invite code lets someone claim an invitation sent to a different email address.
- Transfer ownership before the primary owner leaves; adding members is free.
