Orders missing changes made after they were placed
Lesson 16 of 17 6 min read
Why orders can arrive before apps such as bundle tools have finished with them, how to recognise it, and how an import delay fixes it.
Supply Lens can be almost too fast. With webhooks, it picks up a new order the moment the shop creates it. If your shop runs apps that change orders after they are placed, Supply Lens may receive the order before those apps have finished. In this lesson you will learn to recognise this, and how an import delay solves it.
Why it happens
Stores like Shopify process orders in stages:
- The order is created.
- The store sends a webhook to tell Supply Lens.
- Third-party apps modify the order: expanding bundles, replacing SKUs, adjusting lines or applying custom fulfilment logic.
- The final version of the order is saved.
Supply Lens listens at step 2. Some stores need it to wait until step 4.
What it looks like
If Supply Lens picked up the order too early, you may see:
- a bundle product instead of its individual items
- missing or unexpected SKUs
- product names that do not match the shop
- an order that looks different in Supply Lens from the shop's version
Confirm it with the source data
Open the Document's source data. If the source data itself shows the bundle or the old SKU, the store sent the early version. The problem is timing, not Supply Lens's processing.
The fix: an import delay
An import delay tells Supply Lens to wait a set time before importing each order, giving the apps time to finish so Supply Lens imports the final version.
Import delays are set on the Integration's settings, but you do not set them yourself: contact the Support Team and they will coordinate it with you. While testing, you can experiment to find the right delay for the amount of processing your shop does.
The gift bundle
Hilltop sells a Discovery Trio gift bundle using a Shopify bundle app, which replaces the bundle line with three separate 250 g bags after the order is placed. Some orders reach Unleashed with the bundle SKU, which Unleashed does not stock, and fail. Priya opens the source data and sees the bundle SKU in what Shopify sent. She contacts Support, who add an import delay to the Shopify Integration. From then on, orders arrive with the three bags, as the warehouse expects.
For the orders that already failed, she checks each with the customer and edits the lines to the three individual SKUs before reprocessing.
Recap
- With webhooks, Supply Lens can import an order before third-party apps have finished changing it.
- Signs include bundles instead of items, unexpected SKUs, and orders that differ from the shop.
- Check the source data: if it shows the early version, the cause is timing.
- An import delay makes Supply Lens wait before importing; ask Support to set it up.
