Reprocess, resend, complete and cancel
Lesson 11 of 17 8 min read
The actions you can take on Documents, source data and target data, what each one is for, and how to use them safely in bulk.
Document lists and the source and target data lists offer a set of actions: process, reprocess, resend, complete, cancel, archive and delete. They are powerful, especially in bulk, so it pays to know exactly which one solves which problem. In this lesson you will learn what each action is for, and a short checklist that keeps bulk actions safe.
The actions at a glance
| Action | What it is for | Typical moment |
|---|---|---|
| Process | Send a Ready Document through a Mapping you choose. | Releasing a Document held by a manual Mapping. |
| Reprocess | Run processing again on a Document or source data. | After fixing the cause of a Failed Document, such as adding a missing product. |
| Resend | Send data to the other system again. | When delivery needs repeating. |
| Complete | Mark a record as complete. | When a record has been dealt with and needs no further processing. |
| Cancel | Set a record to Cancelled. | Before deliberately sending target data again, or to take data out of use. |
| Cancel and Reprocess | On target data: cancel and reprocess in one step. | Sending corrected or lost data again. |
| Archive | Move Documents out of the working list. | Tidying lists of finished Documents. |
| Delete | Remove records permanently. On target data, you can delete selected records along with any source data linked to them. | Removing test data or mistakes. |
On a phone, these actions are in a menu on each list. On a desktop you can also hold Alt with
P, S, C or E to reprocess, resend, complete or edit.
Reprocess: the one you will use most
Reprocess is the standard fix for a Failed Document once you have dealt with the cause.
Because of the duplicate fail-safe, reprocessing is safe to repeat: if target data with the same reference already exists for an Integration, Supply Lens will not send it again. That is what makes bulk reprocessing practical. If the same missing SKU caused twenty failures, fix it once in your item master, then select all twenty and reprocess them in one go.
Resend and Cancel and Reprocess
When you want data delivered again, first confirm the receiving system really needs it. Then, for target data that was already sent, Cancel and Reprocess is the clear route: it cancels the existing target data and reprocesses, so the fail-safe does not block the new copy. Resend sends data again too; if you are unsure which to use for your Integration, ask Support.
Complete and Cancel
- Complete marks a record as finished. Use it when nothing more should happen to it, for
example a
Failedrecord you have resolved another way. - Cancel takes a record out of use. On source data or a Document,
Cancelledis informational. On target data, cancelling is the step that allows something to be sent again.
Bulk actions safely
Tick rows to act on many at once. Rows you tick stay ticked when you change page, so you can build a selection across several pages; a clear button shows how many rows are ticked.
Before any bulk action
- Check the filter. Is the list showing only what you think it is?
- Check the count. Does the number ticked match what you expect?
- Pick the right action. Reprocess is safe to repeat; Delete is not.
- Read the confirmation. For delete, the confirmation box starts on Cancel, so you cannot delete anything by pressing Enter by accident.
Twenty failed orders after a product launch
Hilltop launches a Christmas taster box. Within an hour, twenty Shopify orders show Failed.
Priya opens one; the log says the product TASTER-XMAS does not exist. The product was set up
in Shopify but not in Unleashed. She adds it in Unleashed with exactly the same SKU, filters
Sales → Orders to Failed Documents from today, checks there are twenty, ticks them all
and chooses Reprocess. All twenty become Complete.
Recap
- Process releases
ReadyDocuments; Reprocess re-runs processing after you fix a cause. - Reprocessing is safe to repeat because Supply Lens will not send duplicate target data.
- To deliver again on purpose, use Cancel and Reprocess on the target data, after checking with the receiving system.
- Complete marks a record finished; Cancel takes it out of use; Archive tidies lists; Delete is permanent.
- Before a bulk action, check the filter, the count and the action.
