Process Ready Documents

Lesson 9 of 17 6 min read

Review Documents waiting at Ready and send them on with the right Mapping, one at a time or in bulk.

Manual Mappings are a safety net: Documents stop at Ready so a person can check them before they are sent. A safety net only works if someone looks at it. In this lesson you will learn a simple review routine for Ready Documents and how to send them on.

Why Documents wait at Ready

When a Mapping's Automatic switch is off, a matching Document is processed and then held at Ready instead of being sent. Teams use this:

  • while a new flow is going live, to check the first Documents by eye
  • for customers or retailers whose orders need checking before fulfilment
  • when Documents often need editing before they go, because a Ready Document is the easiest kind to edit

Find what is waiting

Open the relevant list (for example Sales → Orders, or All documents) and filter or sort by status to bring Ready Documents together. Pin that view as a tab so the daily check is one click away.

Review, then process

For each Ready Document:

  1. Open it, or press Q to preview it from the list.
  2. Check the things that matter for this flow: customer and ship-to, products (look for green ticks on each line), quantities, prices, dates.
  3. If something is wrong, edit it first (next lesson).
  4. Back on the list, choose to process it. The list shows which Mappings the Document can be processed with; pick the one you want.

Once processed, the Document moves on: target data is created and sent, and the status becomes Complete.

Processing in bulk

You can tick several Documents at once and act on them together. Rows you tick stay ticked when you change page, and a clear button shows how many rows are ticked and unticks them all.

Keyboard shortcuts

On Document lists, move with the arrow keys, tick rows with Space, and change page with H and L. Hold ? to see every shortcut for the page. In the confirmation box, press Enter to go ahead or Escape to cancel.

The grocery chain's orders

Hilltop's grocery chain orders arrive by EDI, and Priya keeps their Mapping to Unleashed manual because the chain sometimes orders discontinued blends. Each morning she opens her pinned "Orders: Ready" tab. Today there are three. Two look fine. The third has a line without a green tick: an old SKU for a blend Hilltop stopped roasting. She calls the buyer, agrees a substitute, edits the line, and then ticks all three and processes them to the Unleashed Mapping.

Don't let Ready pile up

Ready Documents are not sent until someone acts. If the person who usually checks them is away, make sure someone else knows. Once a flow is trusted, consider turning Automatic back on.

Recap

  • Ready means the Mapping is manual and the Document is waiting for a person.
  • Filter a list to Ready, pin it, and check it every day.
  • Review each Document (parties, green ticks on lines, quantities, prices), edit if needed, then process it with the right Mapping.
  • Tick several rows to process in bulk; selections persist across pages.
