Before you start
Lesson 3 of 15 6 min read
The accounts, credentials and Enterpryze reference codes to gather before you create the Integration, so setup is quick and the first test works.
Most delays on an Enterpryze project come from information nobody gathered up front: a missing credential, a warehouse code someone has to look up, or SKUs that do not match. This lesson gives you a checklist to work through before you open Supply Lens.
The four prerequisites
| An active Enterpryze account | The Enterpryze tenant you will connect. Check you can log in and see the Item Master and Business Partners. |
|---|---|
| A Supply Lens account | With access to Settings → Integrations and Settings → Mappings. |
| Enterpryze API username and password | Supply Lens connects using API credentials generated from within your Enterpryze account. You need both the username and the password for the connection form. |
| SKU alignment confirmed | Every product SKU in your connected systems must exist in the Enterpryze Item Master in exactly the same format, including case, separators and leading zeros. |
SKU alignment is not optional
Mismatched or missing SKUs are the most common cause of Enterpryze integration errors. Confirm alignment across every connected system before you activate the Integration. The SKU matching lesson later in this course shows you how.
Reference codes to collect from Enterpryze
Many Enterpryze settings take a code or id that only exists in your Enterpryze tenant. Collect the ones you will need now, in a shared spreadsheet, so whoever configures the Integration is not hunting for them later.
| Warehouse codes | Used to choose which warehouses feed stock to your channels, and as the fallback warehouse on invoices. |
|---|---|
| Tax (VAT) codes | Tax on documents must map to valid Enterpryze tax codes. Supply Lens has no way to look tax codes up in Enterpryze, so an accurate list matters. |
| Business Partner group codes | Numeric codes for customer and supplier groups, for example 5 for an Online group. Used when Supply Lens creates new Business Partners. |
| Price list numbers | Numeric price list numbers, if new customers should get a default price list, or for product selling prices. |
| Payment terms ids | Numeric ids, if new customers should get specific payment terms. |
| Default GL account code | A general ledger account code such as 4000, if new customers need a default account on their Finance & Taxes tab. |
| Sales person ids | If orders should carry a sales person: each person's 24-character Enterpryze id. |
| Card codes for key accounts | The Business Partner codes of any existing customers (for example B2B accounts or channel accounts) that orders must be assigned to. |
| Shipping line item codes | The item codes your documents use for shipping charges, so they are treated as shipping rather than products. |
You will not need every one of these. A simple direct-to-consumer setup that assigns all orders to one generic Business Partner may only need the warehouse codes, tax codes and that one card code. But it is quicker to collect them once than to discover a gap halfway through testing.
Why accuracy matters
When Enterpryze rejects a document because a code does not exist, Supply Lens can check card codes, contact persons, address codes and item codes for you. It cannot check tax codes or warehouse codes, because Enterpryze offers nothing to check them against. A wrong tax or warehouse code means someone looks it up by hand in Enterpryze.
Decisions to make before configuring
Two decisions affect almost every setting, so make them first:
- Business Partner strategy: which Enterpryze customer record each order is assigned to.
- SKU matching: exact match, or a cross-reference table where codes differ between systems.
Both are covered in the next module. For B2B channels, discuss the Business Partner strategy with the Supply Lens Support Team before going live.
Fernhill's checklist
Fernhill's operations manager asks the Enterpryze administrator for the API username and password, the main warehouse code, the list of VAT codes and the group code for "Online" customers. She exports the WooCommerce product list and the Enterpryze Item Master to a spreadsheet and compares the SKU columns. Twelve WooCommerce products have lower-case SKUs where Enterpryze has upper case. She fixes them in WooCommerce before going any further.
Recap
- You need an Enterpryze account, a Supply Lens account, an Enterpryze API username and password, and confirmed SKU alignment.
- Collect Enterpryze reference codes up front: warehouses, tax codes, group codes, price lists, payment terms, sales person ids and key card codes.
- Tax and warehouse codes cannot be checked automatically, so get an accurate list.
- Decide your Business Partner strategy and SKU matching approach before configuring.
