Supply Lens

Setting up new Business Partners

Lesson 6 of 15 8 min read

Control the group, price list, account code, payment terms and addresses that Supply Lens gives the Business Partners it creates in Enterpryze.

If your strategy lets Supply Lens create Business Partners (BPs), you will want each new one set up correctly from the start: in the right group, with the right price list and payment terms. This lesson covers the settings that do that, which appear on the Order and Invoice Configurations, and the setting that adds bill-to and ship-to addresses.

How the tag maps work

Four settings follow the same pattern. Each is a list of pairs: a document tag and the Enterpryze value to use when an order or invoice carries that tag. A special key, default, is used when no tag matches. Set default on its own to give every new customer the same value.

"businessPartnerGroupCodeMap": {
  "trade": "7",
  "default": "5"
}

Here, a new customer created from a Document tagged trade goes into group 7, and everyone else into group 5.

Creation only

These values are applied only when the BP is created. An existing customer's group, price list, account code and payment terms are never changed. If you get a value wrong, fix the BPs already created by hand in Enterpryze.

Tags usually come from the source system or are added by a Mapping's Target tags, so you can tag one channel's orders differently from another's.

Decision: what should a new customer look like?

businessPartnerGroupCodeMapThe Enterpryze BP group for new customers, chosen by tag with a default. For example 5 for an Online group. Must be numeric: non-numeric values are ignored.
businessPartnerDefaultPriceListMapThe default price list on the Finance & Taxes tab of new customers, chosen by tag with a default. Must be numeric.
businessPartnerDefaultAccountCodeMapThe default general ledger account code on the Finance & Taxes tab of new customers, chosen by tag with a default, for example "4000".
businessPartnerPaymentTermsIdMapThe payment terms id for new customers, chosen by tag with a default, for example "4". Must be numeric.

When to use each:

  • Group code: almost always worth setting, so web customers land in a group you can report on, not an unassigned one.
  • Price list: set it if new customers should be priced from a particular list in Enterpryze, such as a trade list for trade sign-ups.
  • Account code: set it if your finance team wants sales from these customers to default to a specific revenue account.
  • Payment terms: Enterpryze holds payment terms on the BP, not on its documents, so this is the only way to set payment terms from Supply Lens. Set it if new customers need terms other than Enterpryze's default.

Good to know

On the Purchase Order Configuration, businessPartnerGroupCodeMap sets the group for new suppliers. The price list, account code and address settings are not offered there, because they are customer-side ideas.

Decision: should Supply Lens add addresses to the customer?

createBusinessPartnerAddressesWhen true, the bill-to and ship-to addresses are added to the customer as structured addresses, and the document's bill-to and ship-to codes are set to those address names. Defaults to false.

Turn this on if you want customers' addresses stored on their BP in Enterpryze and shown on documents. Leave it off if you use a generic account per channel: one BP collecting every shopper's address would quickly become unmanageable.

What to expect when it is on:

  • Address names are built from the name and company: Name (CompanyName) when both are set and different, otherwise whichever is set. Enterpryze prints this name on the BP screen, the sales screens and most default sales document layouts.
  • Names are capped at 50 characters. Over that, the company name is dropped rather than cut off. A party with neither a name nor a company is skipped and logged.
  • A delivery to a different recipient is named after that recipient. If there is no separate ship-to address, the customer's address is used for both.
  • Addresses are only ever added, never updated. If a customer changes their address at source, Enterpryze will not be updated. This protects corrections your team makes in Enterpryze from being overwritten.
  • Enterpryze chooses the customer's default bill-to and ship-to itself when the customer has none. A default already chosen in Enterpryze is left alone.
  • If Enterpryze rejects the addresses, the failure is logged and the document is still sent, without bill-to or ship-to codes, so it uses whatever Enterpryze already holds.

Northgate Tools sets up trade sign-ups

Northgate Tools sells to the public and to trade customers through the same store, and uses one BP per customer. Trade orders arrive tagged trade. Northgate sets:

  • group code: trade → 7, default → 5
  • price list: trade → 2, default → 1
  • payment terms: trade → 4 (its 30-day terms), default → 1 (its pay-on-order terms)
  • createBusinessPartnerAddresses: true, because trade customers order repeatedly to the same sites

When an existing trade customer later negotiates 60-day terms, Northgate changes them in Enterpryze. Supply Lens never overwrites them.

Recap

  • Group, price list, account code and payment terms for new BPs are set by tag maps with a default fallback.
  • They apply on creation only. Existing customers are never changed.
  • Payment terms can only be set from Supply Lens this way, because Enterpryze holds them on the BP.
  • createBusinessPartnerAddresses adds structured bill-to and ship-to addresses, named from name and company and capped at 50 characters.
  • Addresses are added, never updated, so corrections made in Enterpryze are safe.
