Stock, products and purchase orders
Lesson 11 of 15 6 min read
Decide which warehouses feed your stock levels, how product updates are applied and how purchase orders are created in Enterpryze.
Three smaller Configurations round off the settings: Inventory, Product Update and Purchase Order. Each has a handful of settings, but the decisions behind them matter. Publish stock from the wrong warehouse and you oversell.
Which warehouses should feed your stock levels?
Enterpryze supports multiple warehouses. The Inventory Configuration decides which of them count towards the stock Supply Lens receives and passes on to your channels.
| includedWarehouseCodes | When it has values, only inventory from these warehouse codes is imported. |
|---|---|
| excludedWarehouseCodes | Warehouse codes to leave out of inventory imports. |
| lastImportDate | When inventory was last imported. Updated automatically after each run. Do not edit it. |
Guidance:
- If only one or two warehouses should feed a channel, list them in
includedWarehouseCodes. New warehouses added later will not leak into your published stock by accident. - If almost everything counts except a few (for example a returns or quarantine warehouse), list those few in
excludedWarehouseCodes.
How should product updates be applied?
| productUpdateMode | Whether product updates create products, update them, or both. None: no updates. Create: new products only. Update: existing products only. CreateAndUpdate (the default): both. |
|---|---|
| defaultSellPricePriceListNumberMap | Maps tags to an Enterpryze price list number. The first matching tag decides which price list is used as the default selling price, with a default fallback when no tags match. |
Guidance:
- CreateAndUpdate suits most businesses, so new and changed products both flow.
- Update is safer if you want new products created by hand, with full checks, but existing ones kept in step automatically.
- Create suits a one-off load of new products where existing records must not be touched.
- None pauses product updates without removing the Configuration.
- Use the price list map when the selling price should come from a particular Enterpryze price list, such as retail versus trade.
How should purchase orders be created in Enterpryze?
The Purchase Order Configuration uses settings you have already met on orders, applied to purchasing:
| docType | The Enterpryze document type for purchase orders. |
|---|---|
| shippingLineItemCodes | Line item codes that represent shipping charges on purchase orders. |
| customFieldMapping | Fills Enterpryze custom fields on purchase orders from the source document. |
| defaultDueDateDays | Days after the order date for the expected delivery or payment date. |
| includeNameInShipToFullAddress | Whether the contact name appears in the ship-to address. |
| useFixedFormatForShipToFullAddress | Whether the ship-to address uses a fixed template. |
| businessPartnerGroupCodeMap | The Enterpryze group for new suppliers created from purchase orders, by tag with a default. Applied on creation only. |
Guidance: defaultDueDateDays is the most useful setting here. Set it to your typical supplier lead time, so the expected date on the purchase order means something to whoever books in deliveries. There are no price list, account code or address settings, because a purchase order's ship-to is your own warehouse, not the supplier's.
Fernhill's stock source
Fernhill has three Enterpryze warehouses: MAIN, RETURNS and SHOWROOM. Only MAIN stock is available to web customers, so it sets includedWarehouseCodes to MAIN. When it later opens a second fulfilment warehouse, it adds that code deliberately rather than finding it has slipped into published stock.
