Currency, order splitting and discounts

Lesson 10 of 18 6 min read

Choose which currency to import, understand why one Shopify order can become several Documents, and decide how discounts and unfulfillable lines are handled.

The last group of order settings affects what the order looks like once it arrives: which currency the prices are in, how many Documents one Shopify order becomes, and where discounts sit. In this lesson you'll learn what to choose for each, and why.

Which currency?

Shopify keeps two sets of amounts on every order:

  • Shop money: amounts in your store's base currency.
  • Presentment money: amounts in the currency the customer saw and paid in at checkout.
usePresentmentMoneyWhen true, prices come from the presentment amounts (the customer’s currency) instead of the shop currency. Use it when you sell in several currencies and need to keep the currency the customer actually paid in.

When to choose it. A UK store that sells only in pounds can leave it off. A store that sells to the EU in euros and wants euro invoices in its back-office system should turn it on. The shipment Configuration has its own usePresentmentMoney setting for fulfilments received from Shopify, so decide that one at the same time.

One order, several Documents

Shopify breaks each order into fulfilment orders, one for each location that will fulfil it. Supply Lens splits orders by fulfilment order automatically, so one Shopify order can become several order Documents, one per location.

Rendering diagram...

This is normal. Each warehouse gets just the lines it should pick. Remember that only fulfilment orders with a status in fulfillmentOrderStatuses are imported.

Lines that nobody fulfils

Some lines aren't part of any fulfilment order because Shopify doesn't fulfil them, such as gift cards or custom items.

processLineItemsWithoutFulfillmentOrdersWhen true, lines with no fulfilment order (such as gift cards or custom items) are still included in the imported Document. When false or not set, they are skipped.

When to choose it. Leave it off if your back-office system shouldn't see gift cards, for example because they're handled in your accounts separately. Turn it on if those lines need to appear on the order, for example so the order total matches what the customer paid. If you turn it on, make sure each such line has a SKU your back-office system recognises.

Where discounts sit

applyLineDiscountsAtOrderLevelWhen true, per-line discounts in Shopify become order-level adjustments, instead of being built into each line’s unit price.

When to choose it. Leave it off and a £10 mug with a £2 line discount arrives as an £8 mug. Turn it on and the mug arrives at £10 with a separate £2 adjustment on the order. Choose the one your back-office system and finance team prefer: some systems handle order-level discounts better than line-level ones, and some teams want to see list price and discount separately for reporting.

Hilltop Coffee's gift cards

Hilltop sells digital gift cards. Their accountant handles gift card income directly, and Unleashed doesn't need to see it, so Priya leaves processLineItemsWithoutFulfillmentOrders off. Hilltop only sells in pounds, so usePresentmentMoney stays off. Finance wants discounts visible as their own figure, so she turns on applyLineDiscountsAtOrderLevel.

Recap

  • usePresentmentMoney imports the customer's currency instead of the shop's; shipments have their own version of the setting.
  • One Shopify order can become several Documents, one per fulfilment location.
  • processLineItemsWithoutFulfillmentOrders decides whether gift cards and custom items come through.
  • applyLineDiscountsAtOrderLevel moves line discounts to order-level adjustments.
