Go-live checklist

Lesson 17 of 18 5 min read

The final checks before your Shopify integration handles real orders, and what to watch in the first days.

Going live is the moment your team stops keying orders and starts trusting the integration. In this lesson you'll run through a final checklist and plan the first few days, so nothing slips through the gap between the old process and the new one.

Before you switch on

Access and connection

  • The store is linked and its tile shows on the Integrations page, not Uninstalled.
  • Webhooks are set up.

Configurations

  • There's a Configuration for each document type you need, with the right Send and Receive boxes.
  • Order filters are agreed: financialStatuses, fulfillmentStatuses, includePos, customerCountryFilter and any importDelay.
  • setupDate on the order Configuration is the date you want to start from, so older orders don't come in.
  • Customer settings point at real customer records.
  • Tax identifiers are set, and the tax code list has an entry for every combination.
  • notifyCustomer matches what you've told customers to expect.

Mappings and data

  • Every flow has a Mapping, in the right direction.
  • SKUs pass the alignment checklist: exact matches, no duplicates, every variant has its own SKU.

The cut-over

The awkward part is orders placed around the switch-over. Agree a clear cut-off with the team:

  1. Choose a cut-over time, ideally a quiet period.
  2. Have the team key every order placed before that time the old way.
  3. Make sure setupDate means orders from the cut-over onwards are imported, and earlier ones aren't.
  4. Enable the Integration (and the Mappings, if you held any back).
  5. Watch Sales → Orders for the first few orders to arrive.

Avoid double entry

If the team keeps keying orders after the integration is live, you'll get duplicates in your back-office system. Make sure everyone knows the exact cut-over time.

The first few days

  • Check Sales → Orders a few times a day for held Documents and deal with them promptly.
  • Compare a handful of orders across Shopify, Supply Lens and the back-office system.
  • Spot-check stock for a few fast-moving products.
  • Ask the customer service team to flag any customer who doesn't get a shipping email, or who gets two.

Hilltop Coffee goes live

Hilltop picks Monday at 6am. Priya keys Sunday's orders by hand first thing, enables the Integration at 6am, and watches the first three orders arrive in Unleashed by 8am. By Wednesday she's stopped checking every order and only looks for held Documents.

Recap

  • Check connection, webhooks, Configurations, Mappings, tax set-up and SKUs before going live.
  • Agree a cut-over time so every order is handled exactly once.
  • setupDate controls which orders the integration picks up.
  • In the first days, watch for held Documents and spot-check orders and stock.
