Supply Lens

Create or upload a Peppol message

Lesson 20 of 22 7 min read

Build a Peppol invoice in the Message Editor, or upload an existing Peppol UBL file, and leave it Pending ready for validation.

There are two ways to get a message into Supply Lens: build it on screen, or upload a file your accounting system already produced. Either way it lands as Pending, ready for you to check. In this lesson you'll do both.

Before you start

You need at least one trading partner set up, because the receiver is chosen from your trading partners. If you haven't done this yet, go back to the previous module.

Option 1: create a message on screen

Start the message

  1. Go to Messages.
  2. Click Create New.
  3. Choose the message type from the drop-down, for example an invoice.
  4. Fill out the Create Message screen (see the table below).
  5. Click Create.
The Create Message screen.
Document IDThe unique reference for this document, such as your invoice number.
Live/Test networkA toggle choosing which network the message will use.
Sender IDWhich of your Participants the message is sent from.
AccountWhich financial account (bank and payment details) to put on the document.
ReceiverThe recipient, chosen from your trading partners.

Receiver missing?

The Receiver list comes from your trading partners. Add new ones from Metadata → Trading Partners. If a partner can't be found in the directory, contact the Support Team and they'll add it.

Fill in the contents

Create takes you to the Message Editor, where you fill in the contents of the document. Every field has a tooltip explaining what it's for.

When you're happy, click Save and Close. The message is saved as Pending and you're taken to its information screen, where you can validate and test it before sending.

Option 2: upload an existing message

If your accounting or ERP system already produces Peppol files, upload them instead of retyping. You can upload a Peppol UBL file (UBL, Universal Business Language, is the XML format Peppol documents are written in), or a Standard Business Document that contains a Peppol UBL file.

  1. Go to Messages.
  2. Click Add message.
  3. Choose the file on your computer.
  4. Choose the Live or Test network.
  5. Click Upload message.

The message appears in your list as Pending, ready for you to check and validate.

Which option?

If you'd rather have invoices flow from your ERP automatically, see the last lesson in this module.

Ashby Joinery's first council invoice

Ashby invoices the council for the first library refit. On Create New the office manager chooses an invoice, enters Document ID INV-2041, leaves the toggle on Test for this first try, selects Ashby's Participant as the sender, the business current account, and the council as the receiver. In the Message Editor she hovers over each tooltip as she goes and adds the council's purchase order reference. Save and Close leaves it Pending.

Recap

  • Add message uploads a Peppol UBL file, or a Standard Business Document containing one.
