Read the Messages screen

Lesson 19 of 22 6 min read

Find any Peppol message using the Inbound, Outbound and Archived views, read each column and status, and use the Archive, Print and View more info actions.

The Messages screen is where you'll spend most of your Peppol time: checking what's been sent, spotting failures and finding a received invoice. By the end of this lesson you'll be able to read every column and status at a glance.

Open Messages

Click Messages in the Peppol navigation menu.

The Messages screen.

Four views

AllEvery inbound and outbound message.
InboundMessages you've received.
OutboundMessages you've sent.
ArchivedMessages from either direction that you've archived.

The columns

NetworkLive or Test: whether the message went over the live Peppol network (SML) or the test network (SMK).
DateWhen the message was sent or received.
StatusWhere the message is in its life (see below).
Document IDThe identifier of the business document itself, such as your invoice number.
Message IDThe identifier of the Peppol message envelope that carried the document.
FromThe Participant that sent the document.
ToThe Participant that received it.
Document TypeThe type of business document, such as an invoice.

Document ID or Message ID?

The Document ID is your reference, the one your customer will quote. The Message ID identifies the envelope on the network. When you talk to a customer, use the Document ID; when Support is diagnosing a delivery problem, they may ask for the Message ID.

Statuses

  • PendingCreated or added but not yet sent. Every new message starts here so you can review and validate it first.
  • SentSent successfully.
  • ReceivedReceived successfully from a trading partner.
  • FailedThe message has an error and needs attention.

Actions on each message

To the right of every message are three actions:

ArchiveMoves the message to the Archived view. To bring it back, open Archived and click the green box icon on the message.
PrintShows the message as a PDF in your browser.
View more infoOpens the Message Details screen, with the message's metadata and history, and where you edit and send it.

Ashby Joinery's month-end check

At month end Ashby's office manager opens Outbound and scans the Status column. Eleven invoices are Sent, one is Pending (she created it but never sent it) and one is Failed. She opens the failed one with View more info to see what went wrong, and archives last month's test messages so the list only shows live work.

Recap

  • Messages has All, Inbound, Outbound and Archived views.
  • Network shows Live (SML) or Test (SMK); Document ID is the business reference and Message ID is the envelope.
  • Statuses are Pending, Sent, Received and Failed; every new message starts as Pending.
  • Each message can be archived (and unarchived), printed as a PDF, or opened with View more info.
