Supply Lens

Set up Epos Now

Lesson 20 of 30 6 min read

Import Epos Now till transactions as orders, with a default customer, currency and Location, and tune how hard Supply Lens calls the Epos Now API.

Epos Now is a point-of-sale (POS) system: the till in a shop, café or bar. Bringing its transactions into Supply Lens means shop sales can reach the back office the same way web orders do, for example to reduce stock in the ERP or post sales to accounts. Till sales rarely have a named customer, so the defaults matter more here than anywhere else.

By the end of this lesson you'll be able to configure Epos Now order import for a shop.

The settings

importStatusesEpos Now transaction statuses to import. Empty means all statuses.
defaultCustomerIdThe Party used for Epos Now transactions when no customer is available on the order.
defaultCurrencyIdThe currency used when the transaction doesn't specify one, so every order has a currency.
defaultFulfillmentLocationIdThe Location assigned to every imported transaction.
importDelayWait before importing, so other Epos Now apps can update the transaction.
maxDegreeOfParallelismThe maximum number of API requests made to Epos Now at once during import. Defaults to 5. Higher can be faster but may affect Epos Now API stability.
setupDate / lastImportDateGo-live cut-off and watermark, managed by the system.

Decisions for a till

  • Customer. Most till sales are anonymous. Set defaultCustomerId to a "Shop sales" Party (one per shop if the ERP reports by shop).
  • Location. Set defaultFulfillmentLocationId to the shop's Location, so stock comes off the right shelf in the back office.
  • Currency. Set defaultCurrencyId to the shop's currency so no transaction arrives without one.
  • Statuses. Use importStatuses to leave out transactions that shouldn't count as sales; ask the merchant which Epos Now statuses they use.
  • Speed. Leave maxDegreeOfParallelism at 5 unless imports are too slow. If you raise it and see errors from Epos Now, lower it again.

Hilltop Coffee's café

Hilltop Coffee opens a café at the roastery with an Epos Now till. The implementer:

  • creates a "Café sales" Party and sets it as defaultCustomerId;
  • sets defaultFulfillmentLocationId to a "Café" Location so beans sold over the counter come off café stock in Unleashed;
  • sets defaultCurrencyId to GBP;
  • leaves maxDegreeOfParallelism at 5, as the café does around 200 transactions a day.

Recap

  • Epos Now transactions are imported as orders.
  • Till sales are usually anonymous: set a default customer, Location and currency.
  • importStatuses filters transactions; empty means all.
  • maxDegreeOfParallelism (default 5) trades speed against Epos Now API stability.
