Keep Pipedrive deals in step

Lesson 30 of 30 7 min read

Mark quote deals won when they convert, move or close deals when orders complete, and mark deals lost with the right reason when orders are cancelled.

A deal that never moves is just a copy of an order. The value of the Pipedrive connector is that deals follow the real outcome: a quote becomes an order and the deal is won, an order completes and the deal moves on, an order is cancelled and the deal is lost with a reason. Sales see the truth without anyone updating the CRM by hand.

By the end of this lesson you'll be able to configure each lifecycle event and predict what happens to quote and order deals.

Rendering diagram...

Quote converted: mark as won

markQuoteAsWonWhen true, the quote's deal is marked Won when the quote is converted to an order.

If deliveryContactPerson is also enabled, the quote's deal is given the order's delivery contact as its person when it's marked Won, replacing any person it had. If no person is found, the deal is only marked Won.

Order completed: move or close the deal

completedOrderPipelineIdThe pipeline to move the deal to when its order completes.
completedOrderStageIdThe stage to set when its order completes.
completedOrderStatusThe deal status to set when its order completes, for example won or lost.

Set any one of these and deals update automatically as their orders complete. You might move completed orders to an "Account management" pipeline, or simply mark them won.

Order cancelled: mark as lost

markCancelledAsLostWhen true, the deal is set to lost when its order is cancelled or deleted in the source system, that is, when the order's fulfilment status becomes Cancelled. Also on the quote settings.
lostReasonTagMapThe lost reason, from the first matching tag, else the default. Also on the quote settings.

Points to remember:

  • Only the order's own deal is lost. The deal of the quote it came from keeps the won status the order gave it.
  • An order with no deal is logged and skipped.
  • The Unleashed import tags a cancelled record unleashed:status:<status>, so you can give a deleted record a different reason from a cancelled one:
{
  "default": "Unleashed Sales Quote / Sales Order cancelled",
  "items": [
    { "source": "unleashed", "key": "status", "value": "Deleted", "data": "Unleashed record deleted" }
  ]
}

Fixed lost-reason lists

If the Pipedrive account keeps a fixed list of lost reasons, every reason in lostReasonTagMap, including the default, must be on that list. Otherwise Pipedrive refuses the update and the send fails.

Fern & Finch: a quote's whole life

  1. An account manager raises a quote in Unleashed. Supply Lens creates a deal in the "Quotes" pipeline.
  2. The customer accepts; the quote is converted to a sales order. With markQuoteAsWon on, the quote's deal is marked Won, and because deliveryContactPerson is enabled it picks up the order's delivery contact. A new deal is created for the order.
  3. The order completes. completedOrderStatus is won, so the order's deal is marked won.
  4. A different order is deleted in Unleashed. markCancelledAsLost sets its deal to lost, and lostReasonTagMap gives the reason "Unleashed record deleted", which the team added to Pipedrive's fixed list first. The quote deal it came from stays won.

Recap

  • markQuoteAsWon wins the quote's deal when it converts, and can attach the delivery contact.
  • Any of the completedOrder settings moves or closes deals as orders complete.
  • markCancelledAsLost loses only the order's own deal; the quote deal stays won.
  • lostReasonTagMap can tell deleted records from cancelled ones; reasons must be on any fixed list in Pipedrive.
