Import Magento orders

Lesson 6 of 30 8 min read

Choose which Magento orders come in, who the customer is, how bundles expand and which currency amounts are used.

Magento (Adobe Commerce) is the most configurable storefront in this course, and its order Configuration reflects that. Most projects only need a handful of its settings, but each one answers a real question: which orders, which customer, which lines, which currency. Work through them in that order and you'll have a sound Magento order import.

By the end of this lesson you'll be able to configure the Magento Order Configuration for a typical B2C shop, including guest checkouts and bundle products.

Which orders come in?

statusesToImportThe Magento order statuses to import. Default: processing only.
fulfilledStatusThe Magento status that means an order has been fulfilled. Orders in this status are treated as fulfilled when imported.
setupDate / lastImportDateThe go-live cut-off and the import watermark. Both managed by the system.

Check with the merchant which Magento status their orders are in when they are ready to fulfil. If it isn't processing, or there are several, list them all.

Who is the customer?

Magento has more customer options than any other connector here.

guestPartyIdThe Party for guest orders, placed without a Magento account.
paymentMethodPartyMapMaps Magento payment method codes to Parties, so orders paid a certain way are booked to a specific customer.
useEmailAsPartyIdentifierAdds the customer's email as an identifier so the downstream system can match by email.
customerCustomAttributeIdentificationRules for identifying the customer from Magento customer custom attributes. Each rule names a customAttributeCode and the partyIdentifierType it represents, for example account_number.

Good to know

The configuration guide describes each customer setting but not the order in which Supply Lens applies them when more than one could match. The diagram shows a sensible reading; test it with the customer's real orders before relying on the precedence.

customerCustomAttributeIdentification is ideal for B2B Magento shops where each trade customer carries an account number in a custom attribute. Point the rule at that attribute with partyIdentifierType set to the type the ERP uses, and orders find the right account automatically.

Where is it fulfilled?

fulfillmentLocationIdThe Location assigned to every imported order.

How are bundles handled?

productTypesImportChildrenThe Magento product types whose child or component products are imported as individual lines. Defaults to bundle.

With the default, a bundle arrives as its component lines, so a warehouse can pick each item. If the ERP holds the bundle as a single assembled product, talk through whether expanding it is what the customer wants before changing this.

Which currency amounts?

useBaseValuesDefault true. Use Magento's base currency amounts rather than the display currency amounts the shopper saw.

Magento stores two sets of amounts when a shop has several store views or currencies. Base values keep the books consistent in the shop's base currency. Turn this off only if the ERP needs the amount in the currency the customer actually paid.

Fern & Finch: guests and a trade payment method

Fern & Finch's Magento shop allows guest checkout, and trade customers pay "on account" using a payment method coded purchaseorder.

  • statusesToImport stays at processing.
  • guestPartyId points at a "Web Guest" Party in Unleashed.
  • paymentMethodPartyMap maps purchaseorder to the "Trade Accounts" Party, so account orders don't get mixed in with card sales.
  • fulfillmentLocationId is the 3PL's Location.
  • productTypesImportChildren stays at bundle, because the 3PL picks gift-box components individually.
  • useBaseValues stays true; the shop sells in GBP and EUR but reports in GBP.

Recap

  • Magento imports only processing orders by default; add custom statuses if the shop uses them.
  • Guest orders go to guestPartyId; paymentMethodPartyMap books orders by payment method.
  • Custom customer attributes can identify B2B accounts.
  • Bundles expand into component lines by default.
  • useBaseValues keeps amounts in the shop's base currency.
