Turn HubSpot deals into orders
Lesson 28 of 30 6 min read
How CRM connectors differ from shops, and how to import HubSpot deals as orders from chosen pipeline stages.
A CRM (customer relationship management system) tracks sales opportunities, usually called deals, as they move through a pipeline of stages from first contact to won or lost. Connecting a CRM to Supply Lens closes the gap between "the salesperson won it" and "the warehouse shipped it". HubSpot and Pipedrive approach it from opposite ends, which is why this module covers both.
By the end of this lesson you'll be able to explain the two CRM patterns and configure HubSpot deal import.
Two CRM patterns
| HubSpot | Pipedrive | |
|---|---|---|
| Direction | HubSpot → Supply Lens | Supply Lens → Pipedrive |
| What travels | A deal becomes an order | An order (or quote) becomes or updates a deal |
| Use it when | Sales close deals in the CRM and the back office should fulfil them | The back office creates orders and sales want to see them, and their outcome, in the CRM |
HubSpot: choosing which deals
| pipelineStages | A dictionary mapping HubSpot pipeline IDs to lists of stage IDs. Only deals in the listed stages of the listed pipelines are imported. |
|---|---|
| setupDate | Only deals created on or after this date are imported. Set automatically at first configuration. |
| lastImportDate | The watermark: each run fetches deals modified after it. Managed by the system. |
The shape of pipelineStages is one entry per pipeline, each with a list of stage IDs:
"pipelineStages": {
"12345678": ["98765432"],
"23456789": ["87654321", "76543210"]
}
Pipeline and stage IDs are not the names you see in HubSpot. Get them from HubSpot's pipeline settings or ask the customer's HubSpot admin.
Pick the stage that means 'ready to fulfil'
Usually that's the closed-won stage. If the customer has a later stage such as "Contract signed" or "Paid", use that instead, so deals that are won but not yet confirmed don't reach the warehouse.
Brightwater Drinks' trade sales
Brightwater Drinks' sales team closes trade deals in HubSpot. They have two pipelines, "New business" and "Renewals". Each has a "Closed won" stage.
The implementer finds the two pipeline IDs and the two closed-won stage IDs, and enters them in
pipelineStages. A Mapping sends the resulting orders to Business Central. Deals in any other
stage, or in a third "Partnerships" pipeline, are ignored.
Recap
- HubSpot sends deals into Supply Lens as orders; Pipedrive receives orders and quotes as deals.
pipelineStagesmaps pipeline IDs to the stage IDs to import.- Use IDs, not names.
- Choose the stage that truly means "ready to fulfil".
